The role, in a nutshell:

We are seeking a highly organized, detail-oriented, and proactive Executive Administrative Assistant to support our Chief Product Officer (CPO) and VP of Engineering. The ideal candidate will possess exceptional administrative skills, the ability to multitask in a fast-paced environment, and a keen understanding of the product development process within a dynamic organization.

As an Administrative Business Partner/Executive Business Partner, you will be pivotal in keeping the product and engineering organization running smoothly and efficiently. Our ideal candidate is highly organized, proactive, and collaborative. Using your excellent communication skills and multitasking abilities, you'll effectively help optimize our Chief Product Officer and VP of Engineering by doing the following:

What you'll do:

Administrative Support:

  • Manage and maintain the CPO's & VP Engineering's calendars, including scheduling meetings and travel arrangements.
  • Prepare, edit, and format documents, reports, and presentations for internal and external stakeholders.
  • Handle incoming correspondence and emails, prioritizing and responding on behalf of the CPO & VP when necessary.
  • Organize and maintain Google documents, ensuring confidentiality and security of sensitive information.
  • Prepare and submit expense reports for the CPO and VP. Review and approve expense reports of CPO's and VP's direct reports.

Meeting Coordination:

  • Coordinate and schedule meetings, including executive team meetings, planning reviews, and cross-functional team meetings.
  • Work with external customers and partner EA's in scheduling external meetings.
  • Prepare agendas, take minutes (when AI-assistance is not available), and follow up on action items to ensure timely completion.
  • Arrange meeting logistics, including room bookings, catering, and technical support.

Project Management:

  • Assist in the planning and executing product-related projects, tracking progress, and ensuring deadlines are met.
  • Coordinate with various departments to gather necessary information and support the CPO & VP in driving project milestones.

Travel Coordination:

  • Arrange complex travel itineraries, including flights, accommodations, and transportation.

Special Projects:

  • Undertake special assignments and projects as the CPO or VP directs, ensuring accurate and timely completion.

What we're looking for:

  • Bachelor's degree in Business Administration, Communications, or a related field preferred.
  • Minimum of 5 years of experience in an executive administrative role, preferably supporting senior executives.
  • Exceptional organizational and time management skills.
  • Strong written and verbal communication abilities.
  • Proficiency in Google Workspace (Google Docs, Google Cal, Gmail).
  • Ability to handle sensitive information with discretion and maintain confidentiality.
  • Proactive, with the ability to anticipate needs and act independently.
  • Strong interpersonal skills and the ability to work effectively with diverse teams.
  • Experience in a product development and engineering environment is a plus.
