We’re looking for a reliable, detail-oriented Care Coordinator Specialist to support operations inside a growing pediatric therapy clinic.
This organization provides speech, occupational, and developmental therapy services for children through individualized treatment plans and family-centered care. Operating within the pediatric outpatient healthcare space, the clinic focuses on early intervention and evidence-based therapy to help children reach meaningful developmental milestones.
This role sits at the intersection of families, providers, and payers. You will manage prior authorizations, coordinate care logistics, and ensure compliance processes are handled accurately. We are looking for someone who understands healthcare systems, can operate independently, and communicates with clarity and professionalism.
This is a high-trust position that requires sound judgment, organization, and comfort handling protected health information.
You will be paid in USD (bi-monthly: every 15th and 30th)

Submit, track, and follow up on prior authorizations independently
Communicate with insurance providers to resolve denials or documentation requests
Maintain accurate records of authorization status and approvals
Ensure timely updates to families and internal providers
Serve as a point of contact for families regarding scheduling and insurance updates
Coordinate with therapists to ensure services align with authorization limits
Communicate clearly via phone, SMS, and email with professionalism
Represent the clinic with empathy and structure in all interactions
Handle protected health information in strict accordance with HIPAA
Maintain organized documentation of care coordination activities
Ensure payer requirements and documentation standards are met
Support internal audits or compliance reviews when needed
Assist with therapist license verification and tracking requirements
Support credentialing processes and payer enrollment documentation
Monitor renewal timelines and maintain accurate provider records
Coordinate with leadership on compliance-related operational updates
3+ years of experience in healthcare or health tech environments such as medical practices, MSOs, or care coordination teams
Direct experience submitting and managing prior authorizations independently
Strong understanding of HIPAA and proper handling of PHI
Experience communicating with patients and healthcare providers
Working knowledge of therapist licensing requirements, credentialing, and payer enrollment
Clear, fluent English both spoken and written
Ability to operate independently with sound judgment
Professional presence when representing the business externally
Nice to Have
Experience in pediatric therapy or outpatient rehabilitation settings
Familiarity with EHR or practice management systems
Exposure to revenue cycle management processes
Experience working in remote healthcare operations
