We are looking for a highly organised and detail-driven Finance & Executive Administrative Associate to support both our finance function and executive operations.
This role is designed to lighten the operational load of our finance team, ensuring day-to-day financial tasks, documentation, and compliance requirements are handled efficiently while also supporting key executive and corporate processes.
You will be working directly with the COO, requiring a high level of trust, discretion, and operational reliability.
Manage and maintain day-to-day financial records and smaller books to support the finance team
Support the preparation of financial reports and documentation
Ensure accuracy and organization of financial data across systems
Assist with corporate filings, registrations, and compliance documentation
Coordinate and prepare IP-related filings and paperwork
Support legal and administrative documentation across entities
Assist with loan applications, credit card applications, and financial account setup
Support sales tax and VAT filings and regional compliance (or coordinate with external partners)
Maintain organized records of all regulatory and financial submissions
Organize and maintain internal systems including Notion and Dropbox
Ensure documentation is structured, updated, and easily accessible
Support ad hoc executive and operational tasks as needed
Work closely with executive leadership and influence operational efficiency
Play a critical role in supporting a scaling global business

3+ years of experience in finance, bookkeeping, or accounting support roles
Strong background in Executive Assistance and finance is required
Experience in an executive administrative or operations support role
Understanding of basic accounting principles and financial processes
Familiarity with US financial systems, applications, and compliance requirements
High proficiency in tools such as Excel/Google Sheets, Notion, Dropbox, and accounting software (e.g., QuickBooks, NetSuite)
Must be willing to travel on short notice if needed
Must have a valid passport
Experience supporting high-growth or eCommerce businesses
Exposure to multi-entity or international operations
Familiarity with IP filings, corporate governance, or legal documentation
Knowledge of US sales tax and VAT processes
Work closely with executive leadership and influence operational efficiency
Play a critical role in supporting a scaling global business
