Role Overview
We’re looking for a highly proactive Executive Assistant to support a dynamic entrepreneur with both professional and personal tasks. This role requires someone who is organized, detail-oriented, and comfortable managing a wide range of responsibilities, from calendar and email management to supporting ongoing projects. A key aspect of the role is helping improve efficiency through the use of AI tools and systems.
Responsibilities
- Manage and coordinate a busy calendar, including meetings, travel itineraries, and event coordination.
- Support email management, prioritization, and organization.
- Provide administrative support to the executive and team as needed.
- Support light marketing-related tasks for an additional business venture.
- Research and implement tools (including AI solutions) to improve productivity.
- Help organize systems and processes to streamline daily tasks.
- Handle occasional personal tasks as needed.
Requirements
- 3-4 years of experience as an Executive/Virtual Assistant, Lifestyle Manager, People and Operations Specialist, or similar role.
- Strong organizational and time management skills.
- Experience managing calendars, emails, and travel logistics.
- A tech-savvy professional with knowledge of Slack, Asana, and Zoom.
- Ability to work independently and adapt in a fast-paced environment.
- Strong communication skills and attention to detail.
- Interest or experience in using AI tools (Claude) to improve workflows and efficiency.
- Proactive mindset with the ability to anticipate needs.
- Experience with Klaviyo, Hubspot, and Shopify (Nice-to-Have).
Our Recruitment Process

- 30-minute take-home skills test
- 30-minute Call with the Recruiter (project, benefits, etc.)
- Interviews directly with the client (depending on the project the # of interviews may vary, this may include an assessment)
