We are looking for a holder Relations Manager / Corporate Secretary who will be responsible for operational and administrative processes related to holders and corporate governance procedures.
This role combines corporate governance, holder relations, documentation management, and coordination with registrars, legal, and finance teams.
The position is especially important for companies with a growing number of holders and active corporate processes.
Responsibilities
Corporate Governance & holder Relations
- Maintain and manage the holder register in cooperation with registrars and external providers.
- Prepare and support General holders’ Meetings, including:
- distribution of notices and voting materials
- organization of voting procedures
- vote counting
- preparation of meeting minutes and corporate documentation
- Coordinate dividend distribution processes together with registrars and banking partners.
- Support disclosure procedures and corporate reporting requirements.
holder Support
- Handle holder inquiries related to:
- dividends
- personal data updates
- ownership questions
- registration and operational requests
- Coordinate transfer procedures, including:
- inheritance
- gifting
- purchase and sale of small packages
- Prepare responses to requests from governmental authorities and regulators.
Reporting & Communication
- Prepare annual reports, presentations, and holder materials.
- Organize meetings and communication with holders and stakeholders.
- Collect and structure feedback related to corporate actions and initiatives.
Coordination & Administration
- Work closely with legal, finance, and compliance teams.
- Ensure accuracy of corporate documentation and holder records.
- Support internal corporate governance processes.
Requirements
- 3+ years of experience in corporate governance, holder relations, legal operations, investor relations support, or corporate administration.
- Understanding of corporate governance procedures and holder registry management.
- Experience coordinating documentation flows and administrative processes.
- Strong attention to detail and structured working approach.
- Ability to communicate professionally with holders, lawyers, banks, and external partners.
- Experience working with confidential information.
- English level B2/C1.

- Experience working with public companies or companies with a large holder base.
- Experience supporting dividend distribution and holder meetings.
- Experience in fintech, financial services, investment, or crypto companies.
- Legal or corporate governance background.
