FreedUp is excited to announce an opening for a Remote Finance Manager-Bookkeeper to join our team. In this role, you will be the dedicated financial right hand to the owner of a growing residential construction and home-remodeling company. You will take full ownership of day-to-day bookkeeping and financial operations, while also providing light executive-assistant support (inbox and calendar help) as bandwidth allows. This is an excellent opportunity for someone who is detail-oriented, discreet, and brings real accounting depth and judgment, not just software familiarity.
We're looking for someone with genuine accounting or bookkeeping expertise, ideally in construction or real-estate project accounting, who can bring their own knowledge and insight rather than just executing tasks. Responsibilities include owning invoicing, accounts payable/receivable, vendor compliance (W-9s and Certificates of Insurance), and GL audit preparation. The ideal candidate has real depth in QuickBooks Online and can independently diagnose issues (like a third-party app misassigning invoice data), not just enter transactions.

Requirements
- 3+ years of hands-on bookkeeping or accounting experience, ideally supporting a US-based construction, real estate, or home-services business.
- Genuine QuickBooks Online proficiency — comfortable independently reconciling accounts, diagnosing invoicing or integration issues, and preparing documentation for external audits (e.g. GL audits).
- Strong discretion and judgment when handling sensitive or confidential business and personnel information.
- Experience with vendor compliance documentation (W-9s, Certificates of Insurance) and property-tax-related recordkeeping.
- Experience managing or organizing a busy email inbox, including triage systems, labeling, and folder structures.
- Familiarity with calendar management best practices (meeting titles, descriptions, time-block conventions).
- Comfort learning project-based platforms like BuilderTrend (used for scheduling, estimates, and project invoicing) — prior experience a plus.
- Comfort working in Google Workspace (Gmail, Google Chats, Google Calendar, Google Drive) as the primary communication and document toolset.
- Highly organized, proactive, and self-motivated, capable of working independently in a remote environment.
- Experience creating or duplicating checklists/templates and tasking out steps to multiple stakeholders.
Key Responsibilities
- Vendor Compliance: Track and collect W-9s and Certificates of Insurance (COI) for subcontractors and vendors.
- Invoicing & Billing: Own the full invoice cycle end-to-end for client and project billing, including catching and correcting recurring errors (e.g. mis-assigned project codes) before they require rework.
- Inbox Management: Keep the inbox organized and triaged daily, turning action items into tasks and keeping email clutter-free.
- Subcontractor documentation ownership: Purchase orders, certificates of insurance, master subcontractor agreements, and lien waivers all verified before any payment is released — a valuable extension of the role once the core bookkeeping is running smoothly.
- Able to manage high-volume day-to-day transaction processing
- Able to work fluently in QuickBooks Online and build real Excel formulas: QuickBooks Online is the system of record, and day-to-day tracking depends on formula-driven spreadsheets rather than manual calculation
- Calendar Coordination: Schedule meetings following team norms as needed to support the owner.
- General Administrative Support: Help with ad hoc admin tasks, filing, and organization as needed.
- QuickBooks Management: Utilize QuickBooks Online for bookkeeping, including entering transactions, reconciling bank statements, and generating financial reports.
- GL Audit & Compliance Prep: Coordinate and prepare documentation for periodic GL audits, and ensure all financial processes comply with relevant regulations and company policies.
- Accounting: Manage and maintain accurate financial records, including general ledger entries, accounts payable and receivable, and financial reporting.
- Financial Reporting: Provide regular, clear financial reports and proactive insights or recommendations to the owner based on financial data, to help improve the company's financial health.
- Process Improvement: Identify and fix recurring inefficiencies (e.g. building a Loom walkthrough for the correct process) to reduce rework over time.
- Collaboration: Work closely with other team members (e.g. project managers) to support financial operations and provide necessary reports.
