Responsibilities

  • Request and track medical records, billing statements, and related documents from healthcare providers.
  • Maintain an accurate records tracker so case documentation is complete, current, and easy to review.
  • Review incoming records for completeness, accuracy, and proper case assignment.
  • Sort, label, upload, and organize documents in case management or document management software.
  • Follow up consistently with medical offices, clinics, hospitals, and internal team members on pending requests.
  • Protect patient confidentiality and support HIPAA-compliant handling of sensitive medical information.
  • Communicate clearly in English and Spanish with providers, legal staff, and other stakeholders.
  • Flag missing, incomplete, or unclear documentation so issues can be resolved quickly.
  • Support smooth case progress by keeping records organized, searchable, and ready for attorney or case manager review.

Requirements

Must-Have

  • 2+ years of experience in medical records, legal documentation, healthcare administration, or a closely related role.
  • Strong understanding of HIPAA compliance, privacy standards, and confidential document handling.
  • Experience using case management software, document management tools, or organized digital filing systems.
  • Fluent written and verbal communication skills in both English and Spanish.
  • High attention to detail when reviewing, labeling, tracking, and uploading documents.
  • Reliable internet connection and a quiet remote work setup.
  • Experience supporting a personal injury law firm or legal case management team.
  • Ability to work full-time U.S. Pacific Time hours, including night shift for Philippines-based candidates.

Nice to Have

  • Familiarity with medical billing statements, treatment records, provider requests, or records retrieval workflows.
  • Experience communicating with U.S. healthcare providers, clinics, hospitals, or insurance-related contacts.
  • Comfort working with remote teams across different time zones.
  • Prior experience with legal administrative support or client case documentation.
